The Via Skeepers access sharing mode modernizes the way recipients access dashboards shared in Feedback Management.
Sharing "Via Skeepers access" lets you make one or more dashboards available to your recipients directly in their Skeepers space. They no longer need to keep several links received by email: once logged in, they find all the dashboards shared with them on their home page.
This mode is particularly suited to sharing dashboards with a large number of people (store networks, branches, regions, departments). Thanks to recipient properties, you automatically target the right people and limit the data to their scope.
No email is sent automatically to your recipients
Remember to inform them and share the login address with them: https://room.cxr.skeepers.io/backend/login. The section Inform your recipients gives you the details.
Which sharing mode should you choose?
- Access: the recipient opens the dashboard with the link they were given.
- Public or authenticated link: a public link is accessible to anyone who has it; an authenticated link requires logging in as a user or recipient.
- Recipient home page: the dashboard does not appear there.
- Automatic email: no.
- Validity: link valid for a maximum of 365 days.
- Targeting by property: No.
- Access: the recipient opens the dashboard with the link received by email.
- Recipient home page: the dashboard does not appear there.
- Automatic email: yes.
- Validity: link valid for 365 days by default.
- Targeting by property: yes.
- Access: the recipient opens the dashboard from their Skeepers home page, after logging in.
- Recipient home page: the dashboard appears there.
- Automatic email: no.
- Validity: linked to the recipient's access.
- Targeting by property: yes.
A dashboard shared by URL or by email does not appear on the recipient's home page. For it to appear there, you need to create a "Via Skeepers access" distribution.
Find your situation
The dashboard was shared with them by email or by URL, and not via Skeepers access.
See the section "No dashboard has been shared with you" message.
Once logged in, simply click the dashboard link again.
See the section Redirection after a first login or a password change.
A condition is not met, the property value is missing or misspelled, or the back-office access permission is not enabled.
See the section A targeted recipient cannot see the dashboard.
The data filter does not match any data for the recipient's value.
See the section Empty dashboard.
Two different distributions share it with the same recipient.
See the section Dashboard displayed twice.
The recipient used the back-office address without having permission to access it.
See the section "Access denied" message.
Who can use this mode?
The dedicated home page is displayed:
- to recipients;
- to users who do not have permission to create dashboards.
Users who create dashboards keep their usual home page.
Before you start: prerequisites
1. Allow recipients to access the back-office
The permission "Recipient backoffice access - Allow recipient users to access the FM back-office" is automatically enabled on recipient accounts and can be removed if needed.
Without this permission, the recipient cannot log in to their space and does not see the dashboards shared through this mode.
2. Create recipient properties
This step is recommended for large-scale sharing. Go to Settings > Properties > Users, then create a property that identifies each recipient's scope: Store, Region, Branch, Department, Job…
- Give it a name, a label and, if needed, a description.
- Check "Multiple" if the same recipient can have several values (for example, a manager of several stores).
To learn everything about creating and managing user and recipient properties, see the article Manage account property values.
3. Fill in the property for each recipient
For each recipient, enter the value that matches their scope. For example:
- John Smith → Store = Paris Opéra
- Mary Johnson → Store = Lyon Part-Dieu
Only an administrator can assign properties to a user or a recipient. The procedure is detailed in the article Edit a recipient's rights and properties.
Values must be written exactly the same way everywhere (spelling, capital letters, spaces). A single difference is enough for a recipient not to be targeted, or for their dashboard to display without data.
Configure sharing
- Open the dashboard you want to share.
- Click the "Share" icon.
- Select "Via Skeepers access".
- Create a new distribution, or edit an existing one.
- Give your distribution a clear name (for example "Store managers – South Region"). This name is displayed on the recipient's home page.
- Choose the recipient type:
- A user / recipient of your account: targeting by property, recommended for a large number of people ;
-
An email address: sharing with a specific person.
- Define the targeting conditions (see Target recipients with conditions).
- Choose data access: full dashboard, or filtered according to the recipient's scope (see Target or filter).
- Save.
Target recipients with conditions
A condition is made up of three elements:
- Property: for example Store
- Operator: for example Equals
-
Value: for example Paris Opéra
All recipients who have this value automatically receive the share.
Example: your account has 150 store managers, each with the property Store = name of their store. To share the dashboard with the managers of the Paris store, configure Property = Store, Operator = Equals, Value = Paris Opéra.
Combine up to three conditions: the "AND" rule
If you add several conditions to the same distribution, a recipient is only targeted if they meet all the conditions at the same time.
Example: the condition Region = South AND Job = Director only targets directors in the South region. A director in the North region or an advisor in the South region will not receive the share.
To share the same dashboard with different populations (for example all directors and all quality managers), create one distribution per population.
This is the most common reason a recipient cannot see their dashboard: an additional condition they do not meet, or a property value missing from their profile.
Targeting recipients or filtering data: two different uses
Properties can be used for two things:
- Defining who receives the share (targeting): only recipients with the right value see the dashboard on their home page.
- Limiting the data displayed (filtering): each recipient sees the same dashboard, but only with the data from their scope. For example, the Marseille store only sees Marseille data.
You can combine both. With a single dashboard, each manager only sees the results of their own store, without you having to create one dashboard per store.
For more details on using properties, see the article Manage account property values.
Inform your recipients
No email is sent automatically when a dashboard is shared via Skeepers access. Remember to inform your recipients and share the login address with them: https://room.cxr.skeepers.io/backend/login.
What the recipient sees
Once logged in, the recipient lands on their home page. It shows the list of dashboards shared with them via Skeepers access, with:
- the distribution name;
- the dashboard name;
- the label;
- a button to open the dashboard.
A search bar lets them quickly find a dashboard. Dashboards remain read-only: the recipient can neither create nor edit them.
Resolve common situations
"No dashboard has been shared with you" message

This message does not mean the recipient has lost their access. The dashboard was shared with them by email or by URL, and not via Skeepers access: it therefore does not appear on their home page.
The recipient can use the original link again that was sent to them. For the dashboard to appear on their home page, create a "Via Skeepers access" distribution.
Redirection after a first login or a password change
After a first login or a password change, the recipient may land on the home page instead of the dashboard. Once logged in, simply click the dashboard link again: it opens directly.
A targeted recipient cannot see the dashboard
Check the following, in order:
- the permission "Allow recipient users to access the FM back-office" is enabled;
- the recipient's profile contains a value for the property used ;
- this value is written exactly as in the condition;
- the recipient meets all the conditions of the distribution (see the "AND" rule).
Empty dashboard
The dashboard opens but displays no data: the data filter relies on a property whose value does not match any data for this recipient. Check the property value on their profile and the filter applied in the distribution.
Dashboard displayed twice
If two distributions share the same dashboard with the same recipient (for example one with a filter, the other without), it appears twice on their home page. Keep a single distribution for this recipient.
"Access denied" message
The recipient used the back-office address without having permission to access it. Enable back-office access permission for recipients, or ask them to use the dashboard link.
Best practices
- Test your share with a pilot recipient before a large-scale rollout.
- Use identical and consistent property values for all recipients.
- Check that each recipient has a value for the property used.
- Give your distributions explicit names: they are displayed on the recipient's home page.
- Prefer one distribution per population rather than one distribution with many conditions.
Sharing status and pins
Sharing status
A column in the dashboard list shows whether a dashboard is shared (Enabled / Disabled), regardless of the sharing mode (URL, email or Skeepers access).
Pins
Each user manages their own pins. The order of existing pins is kept, and no existing sharing configuration is lost.
Glossary
A read-only access, limited to viewing dashboards.
A sharing configuration that defines which dashboard is shared, with which recipients and with which data access.
A piece of information assigned to a user or a recipient (Store, Region, Job…), used to target them or filter their data.
A rule made up of a property, an operator and a value, that determines which recipients receive the share.
