Share and deploy a dashboard via email

No matter the nature of your dashboard and the analyses you perform within it, Skeepers allows you to easily share its content to a broad or more targeted audience. Of course, you must first create a dashboard.

In this article, you will learn how to easily configure the sharing of your dashboard via email to engage the different stakeholders in your organization : colleagues, supervisors, clients, partners or store networks. The sharing feature allows you to filter the data displayed on your dashboard according to your preferences.

If you want to share your dashboard via URL, we invite you to read our dedicated article.

Accessibility

Dashboards can be shared via URL link or email.

For security reasons, shared dashboard links have a default validity period of 365 days.

To start, regardless of the type of dashboard sharing you are setting up, the first step is to access your dashboard and click on the button labeled 'Share the dashboard'.

By default, dashboard sharing is always disabled. Therefore, you must manually enable this feature on each dashboard by clicking on the 'Sharing Enabled' button until it turns green.

Share a Dashboard via Email

During step 1, after clicking on the 'Via Email' item, you will have access to existing distributions already configured for this dashboard.

According to your preference, in step 2, you can edit or duplicate an existing distribution or create a new one. Distributions with a green tab are active, those with a grey tab are inactive, while those without a tab were only shared once.

During step 3, you have the option to :

  • Give a name to your dashboard distribution
  • Choose if the link will be public or will require authentication to the platform as a user or recipient
  • Reduce the validity period of the access link that will be included in the email
  • Define the subject of the email that will be sent
  • Write the content of the email that will be sent

Step 4 details the target audience of the email share. Thus, you can send this email to a user or recipient as well as to a specific email address.

You can choose to share this dashboard only with users or recipients holding a specific property (example : a role, a store, a regional area). Here, all users and recipients of the account having this property will receive the email containing the link to the dashboard.

The language of the email (which will also determine the language of the dashboard) can also be configured here.

In the 'WHAT WOULD YOU LIKE TO SHARE ?' section of this same step 4, you can choose if the email will be sent once or periodically from a specific date and time.

Finally, the 5th and last step consists of configuring what the person who receives the email will have access to in the dashboard.

You can choose to give access to the full dashboard without restriction or limit the visibility to specific data. Then, just save.

For illustration, here are the settings put in place to share a dashboard to a store manager located in Marseille.

We encourage you to ensure that your properties are correctly filled out in the platform with similar formatting. In case of a spelling error, you will not have access to the desired filters.
